EXECUTIVE ASSISTANT ТО THE CHAIRMAN OF THE BOARD, WITH GERMAN AND ENGLISH

Our client is a German company with local presence in Bulgaria, developing operations in financial services and fintech industry. Regarding the frequent travels of the Senior management all over the world, we are looking for experienced and independent professional to represent the company in Bulgaria on the role of:

Executive Assistant to the Chairman of the Board, with German and English

Job purpose

Provide personal administrative support and assistance to the President who travels frequently to supervise the business development of its group of companies.

Main duties

1. Manage the following daily business activities of the President inclusive but not limited to:

  • Coordinate daily calendar
  • Plan and coordinate appointments and events
  • Record, transcribe and distribute minutes of meetings
  • Prepare and edit correspondence, communications, presentations and other documents
  • File and retrieve documents and reference materials
  • Manage and maintain President’s schedules, appointments and travel arrangements, including management of miles and points
  • Monitor, screen, respond to and distribute incoming communications
  • Liaise with internal staff at all levels
  • Interact with external clients
  • Respond promptly to President’s queries

2. Manage the following personal activities of the President

  • Plan and coordinate family trips and vacations
  • Record, file and retrieve documents pertaining to personal investments
  • Coordinate and update medical and travel insurances of family members
  • Assist in subscription arrangements, management and logistics of extracurricular activities of family members
  • Assist in coordination of personnel and home-related arrangements

Key competences

  • Excellent organizational and planning skills, attention to detail and accuracy
  • Solid experience in ERPs, MS Office, online calendars and cloud systems
  • Strong communication skills (in person, email, phone)
  • Discretion and confidentiality
  • Adaptability and flexibility
  • Time management
  • Stress management and composure

Education and experience

  • Proven experience as a senior executive assistant, with preferably 10 years overall experience as an executive assistant or similar role
  • Minimum two professional references
  • Excellent command of spoken and written German and English
  • Bachelor degree shall be considered an advantage
